What personal data Venship collects, why we hold it, how long we keep it, and the rights you have over it.

What we collect

To carry a shipment we need the sender and recipient names, addresses, phone numbers and email addresses, a description of the contents, and its declared value. For international shipments we also collect the customs information the destination country requires.

If you create an account we hold your name, email address, phone number and a securely hashed password. We never store your password in a form we can read.

When you use the website we collect the technical data any web server does: IP address, browser type and the pages you visited. We use this to keep the service working and to detect abuse.

Driver location data

While a driver is running a delivery route, their device reports its position so that customers can see where their shipment is. Position data is only collected while a route is actively running — never before the driver starts it and never after they finish it.

A customer is only ever shown a vehicle position for a shipment that is genuinely on that vehicle and out for delivery, and only while the reading is current. We do not show a driver’s position at any other time, and there is no way for a customer to query a driver’s location directly.

Location history is retained for a limited period for operational review and is then deleted automatically.

What we do with it

We use it to carry out the carriage, to keep you informed about the shipment, to clear goods through customs, to bill you, and to investigate claims and disputes.

We do not sell personal data, and we do not use shipment contents or addresses for advertising.

Who we share it with

Customs and border authorities where the law requires it. Delivery partners in territories where we do not operate our own final mile. Payment processors and, where an account is in arrears, debt recovery agents.

Each partner receives only the data needed for the task they perform.

What is visible on a tracking page

Anyone holding a tracking number can see the shipment status, its history, and the origin and destination city and country. Full street addresses, phone numbers, email addresses and the identity of the customer are never shown on the public tracking page.

Internal operational notes attached to a tracking event are visible only to our staff, and are never included in any customer-facing view or notification.

How long we keep it

Shipment records are retained for seven years, which is the period our tax and customs obligations require. Driver location history is retained for the period set in our operational configuration, currently 90 days. Account data is deleted on request, subject to those retention obligations.

Your rights

You can ask for a copy of the personal data we hold about you, ask us to correct it if it is wrong, ask us to delete it where we have no continuing obligation to keep it, and object to processing in certain circumstances.
